Terms and Conditions

These Terms and Conditions explain how our services work and outline the responsibilities of both the clinic and our patients. They are designed to ensure clarity, transparency, and informed consent when accessing care at The Eating Disorders Clinic.

Please take a moment to read this information carefully before booking or attending an appointment.

Using our services

The Eating Disorders Clinic provides specialist outpatient support for children, adolescents, and adults. All services are delivered online and are assessment-led, clinically governed, and tailored to individual needs.

Support may include psychology, dietetics and occupational therapy, depending on what is clinically appropriate. Recommendations are discussed with you in advance, and you are not required to proceed with any service you do not wish to accept.

​

Our services are not designed to provide emergency or crisis support. If you require urgent help, you should contact your GP, local emergency services, or appropriate crisis support services.

Appointments, booking and payment

Appointments at The Eating Disorders Clinic are booked in advance and must be confirmed before they take place.

Booking and payment

All appointments must be paid for before the session. An appointment is only confirmed once payment has been received.

For self-funding patients, payment is made at the time of booking.
For insurance-funded patients, valid authorisation details must be provided in advance, and any excess, co-payment, or shortfall must be paid before sessions begin.

Care packages

Care packages are available to self-funding patients only and are paid for upfront unless a payment plan has been agreed in writing.

Details about care packages, including session flexibility and payment plans, are explained later on this page.

Cancellation and rescheduling

We understand that plans can change. The following policy allows us to manage clinician time fairly while remaining flexible where possible.

Notice periods

48 hours or more notice


If you cancel or reschedule an appointment with at least 48 hours’ notice:

​

  • cancellations receive a full refund

  • rescheduling is free of charge

​

Less than 48 hours’ notice
If you cancel or reschedule with less than 48 hours’ notice:

​

  • the full session fee will be charged

​

Same-day bookings (within 24 hours)
Once confirmed, cancellations or rescheduling will incur the full session fee.

Care packages

Care packages are non-refundable.
Sessions cancelled or missed without adequate notice will be deducted from the package.
Rescheduling follows the same notice periods outlined above.

Refunds

Refunds are issued only where applicable under the cancellation policy outlined above. Where a refund is due, it will be processed within 5 to 10 working days using the original method of payment.

No refunds are provided for missed appointments, late cancellations, or unused sessions within care packages.

Privacy, confidentiality and recordings

We take privacy and confidentiality seriously and handle all personal and clinical information in line with UK data protection legislation.

Personal data and records

Personal and medical information is collected and used solely for the purpose of providing and managing your care. This includes clinical records, appointment management, and billing.

Access to your information is limited to authorised members of the clinic team. You have the right to request access to your records or to ask for corrections where appropriate.

Session and call recordings

For clinical governance, supervision, and quality assurance purposes, sessions and phone calls may be recorded. Recordings are stored securely and accessed only by authorised staff.

​

You will be informed when a session or call is being recorded.

Sharing information

With your consent, relevant information may be shared with professionals directly involved in your care, such as your GP or other healthcare providers. All parties are bound by confidentiality and data protection requirements.

Payment details and instalment plans

Where a payment plan has been agreed for an assessment or care package, payments will be collected automatically using the card details you have provided.

You agree to keep your payment details up to date and to ensure sufficient funds are available on the agreed payment dates.

​

We will notify you at least two working days before a scheduled instalment is due to be charged.

Failed payments

If a scheduled payment cannot be processed due to insufficient funds or invalid card details, we reserve the right to reattempt payment.

​

An additional 20% administration fee may be applied to cover the administrative time involved in managing failed payments.

​

Continued non-payment may result in appointments being paused until the balance is settled.

Informed consent and responsibility

Informed consent

By proceeding with treatment, you confirm that you have received information about the nature and purpose of the recommended support, as well as any potential benefits and risks.

​

You understand that you may ask questions at any time and that you are free to decline or withdraw consent for treatment without affecting your future access to care.

Clinical judgement and outcomes

All care is provided based on clinical judgement and current best practice. While we aim to offer effective, evidence-based support, treatment outcomes cannot be guaranteed and may vary between individuals.

Shared responsibility

Effective care depends on open communication and engagement. We ask that you provide accurate and complete information and inform us of any relevant changes to your circumstances or health.

Treatment for children and young people

For patients under the age of 18, consent for assessment and treatment must be provided by a parent or legal guardian.

The parent or legal guardian confirms that they have been informed about the nature and purpose of the recommended support and give permission for treatment to proceed.

​

The parent or legal guardian accepts full financial responsibility for all treatment costs, including sessions, assessments, reports, and any additional services requested.

​

If consent is withdrawn at any stage, the clinic reserves the right to pause or discontinue treatment in line with clinical and safeguarding considerations.

Free 20-minute initial call

As part of our intake process, The Eating Disorders Clinic offers a complimentary 20-minute call for individuals seeking support.

​

This call is carried out by a non-clinical member of staff and is intended to gather factual information to help the clinical team determine the most appropriate next steps.

Nature and limitations of the call

  • The call is not a clinical assessment, consultation, or therapy session

  • No diagnosis, treatment recommendations, or clinical opinions are provided

  • The call does not establish a therapeutic relationship or duty of care

Calls are recorded for governance and quality assurance purposes, and a transcript may be produced for internal use.

Risk and safety

If, during the call, there is disclosure of:

​

  • active suicidal thoughts

  • self-harm behaviours or intentions

  • risk to personal safety or the safety of others​
     

…the caller will be advised to seek immediate support through appropriate emergency or crisis services and the call will be ended.

​

Where the caller’s name and contact details are available, the clinic reserves the right to contact emergency services to support risk management.

Limitation of responsibility

Participation in the free initial call is voluntary and informational only. The clinic accepts no responsibility for outcomes following this call, and no medical or psychological advice is provided.
